Amoud University Institutional Repository — Acceptable Use Policy

Effective: 20 May 2026

1. Scope

This policy governs use of the Amoud University Institutional Repository (AU-IR) at repository.amoud.edu.so and repository.amouduniversity.org. It binds every account holder — depositors, reviewers, and authenticated readers.

2. Your account

  1. One person, one account. You may not share your account, password, or session with anyone, including colleagues, students, or supervisors.
  2. Use your real institutional or professional identity. Pseudonymous or anonymous accounts may be removed without notice.
  3. You are responsible for everything done with your account. Choose a strong password (minimum 12 characters, mixed case + digit). Report a suspected compromise to ictunit@amoud.edu.so immediately.

3. What you may deposit

  1. Only your own scholarly work, or work you are authorised to deposit as a co-author, supervisor, or under an institutional arrangement.
  2. You must hold, or have permission for, all rights you grant. Submissions that infringe copyright or the rights of co-authors will be rejected by review and may result in account suspension.
  3. Respect publisher embargoes. Use the embargo field on the deposit form; do not bypass an active embargo.
  4. No fabricated, plagiarised, or duplicate work. Research misconduct is grounds for permanent removal.
  5. Do not deposit personal data of third parties — student records, identifiable patient data, personal correspondence — without explicit consent or a lawful basis.

4. Conduct

  1. No spam, mass-deposit of irrelevant content, or commercial advertising.
  2. No malware, scripts, or attempts to disrupt repository operations.
  3. No attempts to circumvent access controls, harvest accounts, or scrape content at abusive rates. Bulk harvesting is supported via the OAI-PMH endpoint at /server/oai/request — use it.
  4. No content that is harassing, defamatory, or hateful.

5. Using content from the repository

  1. Items are made available under the licence shown on each item page.
  2. Where no licence is stated, the default is “all rights reserved” — contact the depositor or repository@amoud.edu.so.
  3. Cite items by their persistent identifier (ARK, or DOI where assigned), not the underlying URL.

6. Monitoring and enforcement

  1. AU-IR activity is logged. Access logs, deposit history, and review actions are retained for governance and security purposes.
  2. Amoud University may suspend or remove an account when:
    • your association with Amoud University ends,
    • the University Council, your head of unit, or Amoud University requests it,
    • any conduct prohibited by this policy occurs.
  3. Suspension may be immediate where required to protect the repository or its users. You will receive notice and an opportunity to respond unless doing so would compromise an investigation.

7. Withdrawal and takedown

  1. Withdrawal by depositor. You may request withdrawal of your own deposit at any time by emailing repository@amoud.edu.so. Withdrawn items remain in the system in a non-public state for audit purposes; they are not erased.
  2. Third-party takedown. Third parties may submit a takedown request for content believed to infringe rights or violate this policy. Amoud University and the Research and Innovation Centre will review jointly within ten working days.

8. Updates to this policy

This policy may be updated by Amoud University. Material changes will be announced on the repository home page; continued use after announcement constitutes acceptance.
